Sundara Terms & Conditions
Contract
All bookings are made through Sundara Travel Club.
By booking a trip, you know that you have read, understood, and agree to be bound by these Terms. If you represent the book of other participants, you understand that you have the authority to accept and do accept these Terms for them. Your reservation is confirmed, and a binding contract is established between us upon receipt of your registration and payment.
Payments
The balance payment is due on the date you chose. We have the right reserve to acknowledge your booking as canceled if the balance is not paid on the due date.
Sundara’s Refund Policy
Sundara Travel Club upholds the principle of value and experience and are committed to providing you with a positive, transparent and hassle-free experience. However, we understand that there may be instances where a refund is necessary due to various reasons. Whether it’s a change in circumstances or any other valid reason, we are here to assist you through the refund process.
Understanding Our Refund Policy:
Our refund policy outlines the terms and conditions under (Refund Eligibility) which refunds are provided. It’s designed to be fair and reasonable to you, our valued customer. We encourage you to carefully review our refund policy before making any purchase to understand your rights and responsibilities.
How Our Refund Process Works:
If you find that you need to request a refund, we have established a straightforward process to make it as seamless as possible for you. Simply follow the guidelines outlined in our refund policy, and our dedicated team will assist you every step of the way. Please read it carefully before purchasing any of our products/services.
Booking – Awaiting Approval (2 x 24 hours) – Booking Confirmed
After you complete the booking, there will be an approval process for 2 x 24 hours. After the authorization time period, your booking is verified and you are all set on your trip booking.
Refund Eligibility:
- To receive the refund, your request must fall under the following criteria and there are three types of refunds various of the circumstances listed below:
- 100% Refund – Within 2 x 24 hours.
- 90% Refund – After booking is verified and 60 days before the arrival date
- 50% Refund – 59 to 31 days before the arrival date.
- No Refund – 30 days or less before arrival date

- Provide your order number and a detailed explanation of the reason for your refund request.
- Our team will review your request and notify you of the approval or rejection of your refund.
- If the refund is approved, we will initiate a refund to your original method of payment within
[ 1-7 Working days in 24 Hour Format ].
Personal Details
Medical Information
You are required to inform us of any pre-existing medical conditions which may affect your ability to do the trip’s activity, visit remote areas, or which may also impact the other participants. We reserve the right to deny you permission to participate in any aspect of the trip, at any time and at your own risk and expense, when your physical or mental condition makes you unsuitable for travel or presents a risk to yourself or others.
We do not provide medical advice; therefore, you should consult your physician to confirm your fitness for travel and participation in planned activities, as well as to obtain advice on vaccinations and medical precautions. It is your responsibility to evaluate the risks and requirements of each aspect of the trip based on your personal health, limitations, fitness level, and medical needs.
Cancellation by you
Cancellation is considered initiated on the date that we received written confirmation from you or request from our website.
It’s highly recommended that you purchase cancellation insurance to safeguard against any losses in the event of your cancellation. If you fail to attend the trip, arrive late, or depart early, refunds will not be provided, and you’ll be accountable for any extra transportation expenses related to the tour.
Cancellation by us
We reserve the right to cancel a trip before departure due to factors such as terrorism, natural disasters, pandemics, civil unrest, official government travel advisories, or other external events that make it unsafe to proceed with the planned itinerary.
If such cancellation occurs within four weeks of the trip’s start date and is caused by external factors beyond our control, refunds will be issued after deducting any costs that cannot be recovered. We are not liable for any expenses you’ve incurred, including visas, vaccinations, travel insurance, or non-refundable flights, as a result of your booking.
Inclusions
The price of your trip includes:
- Listed on the details page of your trip
- Accomodation
- Transports
- Meals (as specified in the itinerary)
- Extra activities
- Drinking water
- Experienced trip leaders
Exclusions
The package of your trip does not include:
- External flights
- Alcohol or beverages other than water and breakfast coffee
- Visa and passport fees
- Trip Insurance
- Optional activities or personal expenses outside of our list
- Others that are not mentioned in the itinerary.
Minimum Age
Maximum Age
We do not have any maximum age limit, but we strongly remind you that our trips involve some form of physical activities and are very active. You are fully aware that you are capable of doing so, it is your own responsibility to research and understand your health and concerns before departure.
Passports and Visas
Travel Insurance
We advise all travelers to have either travel insurance or a signed waiver declining coverage. If you opt for travel insurance, it must include coverage for personal accidents, death, medical expenses, and emergency repatriation. Additionally, we advise coverage for trip cancellation, lost luggage, and personal belongings since we will not be providing any kind of Travel Insurance.
Medical Treatments
In the event that I am unable to make medical decisions during the trip, I hereby give consent to the administration of any emergency medical treatment deemed necessary or appropriate for my condition.
Additionally, I grant Sundara Travel Club, including its employees and contractors, the authority to make healthcare decisions on my behalf, including the provision or refusal of informed consent, in situations where my family members are unavailable or incapable of doing so. I acknowledge and accept responsibility for all medical expenses incurred, including costs associated with any necessary evacuation.
Changes to the Itinerary
Authority on Tour
Each trip is led by at least one, typically two, experienced group leaders, with one acting as the lead guide. The lead guide decisions are final concerning the safety and well-being of all participants.
Non-compliance with the lead guide decisions or actions that could compromise the group’s well-being may result in your immediate removal from the trip at your own expense, with no entitlement to a refund. You must always adhere to the laws, customs, foreign exchange, and drug regulations of all countries visited.
Acceptance of Risk
You recognize that the trips involve personal risks and demand a certain level of physical fitness. You might encounter locations where political, cultural, and geographical circumstances present greater hazards and difficulties than those in your usual environment.
Although we adhere to all recommended COVID-19 precautions and safety protocols, we cannot assure an environment free from exposure. It’s your duty to acquaint yourself with all pertinent travel details and the specifics of your itinerary.
Optional Activities
Any optional activities not covered by the trip price are not considered part of the trip or this agreement. By participating, you acknowledge that any help provided by your guides in arranging these optional activities does not hold us responsible for them in any manner. The contractual agreement for the provision of such activities will be solely between you and the activity provider.
Photos, Videos and Marketing
By agreeing to this, you grant us permission and a royalty-free license to utilize images of you captured during the trip for advertising and promotional purposes, across both print and digital mediums.
Privacy Policy
Any personal information collected about you may be utilized for purposes related to the operation of a trip or to send you marketing materials regarding our trips, events, or news. Your details will not be disclosed or sold to any third party.
Disclaimer/Statement of Responsibility
We engage with a network of companies and individuals to support the operation of our trips. As we do not have direct control over the personnel, equipment, or activities of these suppliers, we cannot be held responsible or liable for any personal injury, death, property damage, or other loss or inconvenience resulting from: (1) any wrongful, negligent, willful, or unauthorized actions or omissions by any tour suppliers, their employees, or agents; (2) any defects or failures in vehicles, equipment, or instruments owned or operated by these suppliers; or (3) any wrongful, willful, or negligent actions or omissions by parties not under our supervision or control.
Release of Liability
I, ALONG WITH MY AGENTS, ATTORNEYS, REPRESENTATIVES, PREDECESSORS, SUCCESSORS, ASSIGNS, HEIRS, AND EXECUTORS, HEREBY WAIVE, RELEASE, AND DISCHARGE SUNDARA TRAVEL CLUB AND ITS OFFICERS, DIRECTORS, AGENTS, ATTORNEYS, MEMBERS, PARENTS, SUBSIDIARIES, PREDECESSORS, SUCCESSORS, AFFILIATES, ASSIGNS, SPONSORS, AND REPRESENTATIVES (COLLECTIVELY REFERRED TO AS THE “SUNDARA TRAVEL CLUB PARTIES”) FROM ANY AND ALL LIABILITIES, CLAIMS, DAMAGES, CAUSES OF ACTION, SUITS, PROCEEDINGS, COMPENSATION, ATTORNEYS’ FEES, COSTS, EXPENSES, OR DEMANDS ARISING FROM MY PARTICIPATION IN ANY ACTIVITY OR EVENT AFFILIATED WITH SUNDARA. THIS INCLUDES, BUT IS NOT LIMITED TO, CLAIMS FOR DEATH, PERSONAL INJURY, DISABILITY, PROPERTY DAMAGE, MEDICAL OR HOSPITAL BILLS, THEFT, ECONOMIC LOSSES, OR ANY OTHER HARM RELATED TO MY PARTICIPATION IN OR TRAVEL TO AND FROM A SUNDARA EVENT OR ACTIVITY. I ACKNOWLEDGE AND ASSUME ALL RISKS ASSOCIATED WITH PARTICIPATING IN SUNDARA EVENTS OR ACTIVITIES, INCLUDING THE ACTIONS OF OTHER PARTICIPANTS AND THE EFFECTS OF WEATHER CONDITIONS. I AGREE NOT TO SUE ANY OF THE SUNDARA TRAVEL CLUB PARTIES FOR ANY CLAIMS OR LIABILITIES RELEASED HEREIN. FURTHERMORE, I INDEMNIFY AND HOLD HARMLESS THE SUNDARA TRAVEL CLUB PARTIES FROM ANY CLAIMS OR LIABILITIES ARISING FROM MY ACTIONS OR INACTIONS, THE ACTIONS OR NEGLIGENCE OF OTHERS, THE CONDITIONS OF THE FACILITIES, EQUIPMENT, OR AREAS WHERE THE EVENT OR ACTIVITY IS CONDUCTED, OR ANY OTHER HARM RELATED TO A SUNDARA EVENT OR ACTIVITY. I CONSENT TO THE USE OF MY NAME AND LIKENESS IN CONNECTION WITH MY PARTICIPATION IN A SUNDARA EVENT, AND I WAIVE ANY RIGHT TO FUTURE COMPENSATION FOR SUCH USE. I CONFIRM THAT I AM EIGHTEEN YEARS OF AGE OR OLDER, HAVE READ THIS DOCUMENT, HAD THE OPPORTUNITY TO CONSULT WITH LEGAL COUNSEL, WAS NOT FORCED OR COERCED INTO SIGNING IT, AND UNDERSTAND, ACKNOWLEDGE, AND AGREE TO ITS CONTENTS.
